Privacy & SMS Terms

What we collect

SortMyMail collects your email address (via Google OAuth), and optionally your phone number (if you choose to provide it during onboarding), and data about emails in your connected Gmail account — specifically, email metadata and content used to train your personal classification model. We do not access emails outside your connected account.

How we use your information

Your email address is used to identify your account. Your phone number is used solely to send you SMS notifications about your inbox activity — such as classification summaries, suggested actions, and accuracy updates. We do not use your phone number for marketing or promotional purposes.

Your email data is used exclusively to train and operate your personal AI classification model. It is not used to train shared or third-party models.

What we do not do

SortMyMail does not sell, rent, share, or otherwise disclose your personal information — including your mobile phone number or SMS opt-in data — to third parties for marketing or promotional purposes. Mobile information collected as part of our SMS program is used solely to deliver the notifications you have requested.

Third-party services

We use Twilio to deliver SMS messages. Your phone number is transmitted to Twilio for this purpose and is subject to Twilio's Privacy Policy. We use PostHog for product analytics and Google OAuth to authenticate your account. None of these providers receive your phone number except Twilio for message delivery.

Data retention

We retain your account data for as long as your account is active. You may request deletion of your account and associated data at any time by contacting us at the address below. Upon deletion, your phone number and email data will be removed within 30 days.

Security

We implement commercially reasonable technical and organizational measures to protect your data. No transmission over the internet is fully secure, but we take the protection of your data seriously.

Changes to this policy

We may update this policy from time to time. We will notify registered users of material changes via email. Continued use of the service after changes constitutes acceptance of the updated policy.

• “Hey! I'm your new email assistant from SortMyMail. I'm about to learn how you handle email — just talk to me while you swipe. Pro tip: tell me WHY (“archive this — it's a receipt”) and I'll turn that into rules for your whole inbox. Let's go! sortmymail.com/train”
• “First session done — I studied 23 of your emails and already learned 2 rules that could handle ~47 more emails like them! Ready for session 2? sortmymail.com/train”
• “Hey! I just pre-sorted 83 of your emails into 3 piles based on rules you taught me. I haven't touched anything — just organized them for your review. Takes about 2 minutes: sortmymail.com/train”
• “Hey, it's your email assistant. I've been sitting here getting dumber without new training data. 😅 I've got 41 emails pre-sorted and waiting for your review. Just takes a few minutes: sortmymail.com/train”

Opt-out confirmation

When you reply STOP, you will receive a single confirmation message and no further SMS will be sent. You may reply START at any time to resubscribe.

Supported carriers

SMS notifications are available to users with US phone numbers on major carriers. Carrier support may vary. We are not responsible for delays or failures caused by your carrier.
